 The following are suggestions only and should be altered to suit the individual church setting. Using the Portfolio of Responsibilities, Develop a master plan for the breakfasts for the year, i.e. monthly breakfasts, BBQ, annual retreat, special functions (one activity per month) A. Develop a master plan for activities outside the church-one per month- that is to say, attend a professional hockey game, baseball game or football game; go on a fishing trip; play volleyball; play golf, etc. (see portfolio) C. Determine where the breakfasts will be held-church meeting room, gym, etc. –not too big of a room but not too crowded. D. Determine who will cook the breakfast meal-MEN LOVE TO EAT!!! (local male cook or contact a good caterer) It’s cheaper if you can get local men to help set up the tables, make toast and coffee, serve the meal (buffet style is best) and clean up. Also, it may be cheaper to purchase some things yourselves-for example the orange juice, tomato ketchup, fruit cocktail, etc. Prepare food for at least 10% more than the number of pre-registrations! Sample Menus a. Scrambled eggs ½ brown toast and ½ pancakes, orange and/or apple juice, bacon and/or sausage, home fries, fruit cocktail, tea and coffee, sugar, milk/cream, sweetner, tea, water. b. Eggs, bacon or ham or sausage, home fries, English muffins, fresh fruit platters, tea and coffee, sweetner, sugar, milk/cream c. Egg mc muffins (not from MacDonald’s!!!) with back bacon or regular bacon, home fries , fruit cocktail, tea and coffee, etc. (you get the idea-try something a little different each time-ask the men what they like!!!) E. Publicize the year’s activities in brochure (fancy or just a typed page) early in the New Year. F. Publicize each month’s activity at least three weeks before the event and sell tickets, i.e. Name of event, date, time, cost $ 5.00 by Sunday before the event and $7.00 after that Sunday and at the door (this encourages early registration and fewer last minute registrations. Keep a list of the registrants and their phone numbers. (The church secretary can be most helpful here.) G. Use the list to make up name tags which can be picked up as the men enter the breakfast-this means you only have to take money from those not pre-registered and the check in time is shorter. Men are great at arriving at the last minute! H. The list may also be used to keep attendance for the men who attend the events-if you get their e-mail addresses, these may be used to keep the men informed of the meetings OR the Men’s Leader can log on to thehalftimereport.com and list you meetings in the Events Calendar! I. Use the committee members (see Portfolios) to arrange for table set up, pre-service prayer, music worship, devotional, speaker, clean up, etc. Arrive early to set up and prepare food, P.A. system, registration table, etc. It’s good to have printed Program ready for each participant, suggested as follows:

The Half-time Report-Events Calendar , Western Ontario- next date – speaker, etc. - announcements re: activities- committee member 9:55 Devotions- committee member (see song sheets- Acts 4:7-14) 10:00 Music Worship – name of leader (see song sheets) 10:15 Introduce Guest Speaker- Pastor/committee member 10:17 Guest Speaker- name 11:00 Thank the Speaker and Closing Prayer - committee member 11:05 Reminder re: Offering, Name Tags etc.- 11:10 Table clean up and set up- as per set up and assistants. Collect and forward Name Tags, etc. – .Sign invoice, complete Financial Report and forward with money to church treasurer (always have two persons sign for monies collected and invoices, etc.) Call (name of leader and phone # or e-mail) re: additions, changes, questions, etc. before 2pm on Tuesday prior to the breakfast, 2006 (e-mail proposed agenda to committee members on Monday and distribute the final in print at the breakfast) J. You may wish to sell tickets for the monthly activity and/or the next breakfast at the registration desk prior to and after the breakfast. K. It’s good to have an executive committee meeting the week after the breakfast to review how things went and to finalize the activities and breakfast for the next month, e.g. the next Tuesday night. Prepare an agenda and keep the meeting to no more than 2 hours, if possible.
